2022 Party Reservations
Reservation Guidelines:
- Rentals may be booked by Dutchman Downs Members ONLY!
- All rentals need to be requested more than two weeks in advance.
- Only one reservation is allowed to be booked at a time.
- No parties will be confirmed for Friday - Sunday with guest counts exceeding 20 persons (swimmers and non swimmers).
- There are no reservations on holidays or holiday weekends.
- Once your application and payment are received your rental will be booked and you will be contacted by management with a confirmation email. This confirmation process may take as long as 5 business days.
- Guests counts include both swimmers and non swimmers.
- For groups of 10 or less, the normal guest fee rate of $5.00 per person will apply for all non-members.
- For groups of over 10, the guest fee rate is $3.00 per person for all non members.
- If the number of guests you are inviting is over 10 will need to pay for additional lifeguards. All guests, swimmers and non swimmers must be included in this number. For safety's sake it is EXTREMELY important that you are accurate with your guest count.
- This form is required to reserve your space and to pay for lifeguards, if needed. Your guest fees will be due on the day of your rental, paid via check to the pool manager on duty. Please make the check out to Dutchman Downs Swim Club.
- You will not be allowed more guests than your original reservation indicates. No exceptions.

Party Reservation Rules:
Cleaning: When your party is over, please clean the area thoroughly. This includes removing all food, trash, trash bags and party decorations so that the area may be reopened to the membership or for another party.
We ask that you begin your clean up before your reservation time is over and that your guests vacate the area promptly so that our lifeguards, scheduled for specific times, may end their shift on time.
Failure to clean up thoroughly, including removing trash, may result in a $50.00 cleaning fee. Extra trash bags are available at the guard desk.
Black out Dates: No private parties will be booked on major holidays or holiday weekends when the pool is usually at or near capacity. Parties on or near dates when other social or holiday events are already scheduled are subject to approval by the pool manager as well as the board.
Cancellation policy: If a party is cancelled or the reservation date and time are changed prior to 72 hours of your reservation, you may receive 100% of your reservation fees. If a party is cancelled or the reservation date and time are changed within 72 hours of the scheduled party time, you will receive all fees paid, less a $25.00 administration charge.
Inclement weather: If severe weather is expected around the time of your party, please contact the pool manager to discuss your options. The pool managers must use their best judgment in these situations.
If thunder or lightning occurs during your party and you need to leave, you may change the date of your party with no fees or penalties. If inclement weather causes your guests to miss more than 30 minutes of swimming time (not including break) a partial refund may be offered.
If lightning occurs, please make sure your guests are aware that the pool deck must be cleared immediately (including the bathrooms).
On the day of your party:

- Parties of up to 10 guests: Free
- Parties of 11 - 24 guests: $30.00 per hour
- Parties of 25 - 39 guests: $60.00 per hour
Party Reservation Rules:
- All Dutchman Downs pool rules and regulations must be followed while you are at the Dutchman Downs Pool. Homeowners are responsible for all guests, any violation of the rules or damage by guess will be assessed to the Homeowner.
- The Party area must be cleaned and vacated at the time you are scheduled to end your party. Please remove any food and make sure all trash is thrown away and any spills are cleaned up.
- Appropriate swimwear and attire must be worn at all times.
- No glass containers are allowed.
- All guests must conduct themselves properly, anyone acting inappropriately may be asked to leave.
- It is important for the safety of our pool and homeowners that the proper amount of lifeguards be on duty. If it is determined at the time of your party that you exceeded the amount of guests originally stated, the pool manager will attempt to add more lifeguards and all associated costs will be assessed to the homeowner. If lifeguards are not available your party will be asked to leave. It is the responsibility of the renter to hire the additional lifeguards in advance of the party, this is outlined in the Rental Guidelines - failure to comply may result in your party being asked to leave.

- If there are no other parties at the time of your reservation, you may come a little early to set up.
- Check in with the pool manager on duty upon arrival and let them know you have arrived.
